Video Games Truck party policies

REFUND/CANCELLATION POLICY: This policy will take effect within 24 hours of receipt of payment for any party or event.  Payments are refundable up to 14 days prior to your originally scheduled party/event date minus a $75 service/account maintenance/lost opportunity charge. Since each booking is carefully scheduled around other bookings on any given date, and we can only accept one booking per time slot,   it is nearly impossible to find a suitable replacement within 14 days of a date which,  causes us significant loss to our income.  Therefore, there are no refunds for parties/events canceled within 14 days of a scheduled party/event to offset the loss to our business. We will make every attempt to reschedule your party, up to 14 days in advance, so that you do not have to cancel but, for the same reason we cannot offer refunds within 14 days, we cannot authorize a party to reschedule within 14 days.   By submitting a booking or a payment you confirm that you have read and agree with our refund policy.

 

USE OF VIRTUAL REALITY (VR):  Sony's recommendation for its PlayStation Virtual Reality is ages 12 and up. We will need a waiver to be emailed by the parent or party organizing adult if kids under the age of 12 but 10 and older can play using the VR headsets. While kids are having fun with other consoles parents are more than welcome to use the opportunity of enjoying a Virtual Reality experience in our gaming trailer. If you prefer using VR for children under the age of 12 please email your permission to info@Videogamestruck .com .

The VR Headset may only be handled by an employee of Video Games Truck ltd.  You also acknowledge and understand that there may not be enough time in a party to allow everyone a chance to use the VR,  if they do not take turn in reasonable order. You agree to hold harmless Video Games Truck from any issues regarding the use of Virtual Reality while in the trailer and agree to monitor the gamers after they use VR to ensure their safety. Any violation of our rules regarding VR will terminate it’s use at the party.

 

PRIVACY POLICY: Video Games Truck is committed to protecting your privacy. We use the information we collect on the site to make bookings with Video Games Truck as simple as possible and to enhance your overall experience. We do not sell, trade, or rent your personal information to others.

 

BAD WEATHER:

Video Games Truck’s trailer was designed for all types of weather conditions. The theater is insulated and climate controlled with heat in winter and air conditioning in summer. There may be occasions when the weather does not want to cooperate with your scheduled party. In the event of severe weather (lightning, very high winds, flooding and/or extreme cold) we may (and reserve the right to) reschedule your service to guarantee the safety of you, your guests, our staff and equipment. Road conditions play a big part in our service. As long as it is safe to drive we will be there. The decision on travel safety is made solely by Video Games Truck or his designee. Roads and Driveways must be clear of snow and ice with plowed roads allowing us to park on the roadway while still allowing for the safe passage of traffic. Large snow falls will require the end of the driveway to be widened to allow our theater to access the driveway.

 

SUPERVISED CHILDREN:

Video Games Truck does require a parent or responsible adult to be present inside the trailer or within reasonable distance (inside the house)  at all times. For children under 7 a parent or guardian must be present to assist them at all times. Our parties are designed and recommended for guests 7 and older. Please keep in mind that Game Coaches are  there to keep the party rolling and provide assistance if it is needed with respect to the games and equipment.  We believe that you will know your guests better and be able to monitor what they can and cannot do better than us! We use discretion to require an adult presence on the party day.

ALCOHOL/DRUGS:

You may not serve alcohol at a Video Games Truck event or party. We may and reserve the right to refuse, cancel or cut short any party or booking when alcohol is being served. Drugs of any sort will not be tolerated in or around the Video Games Truck equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately.

DAMAGE/INJURY:

Video Games Truck or any of it’s employees will not be responsible for any damage to property resulting from a request by the client to position the theater in a specific location. This includes both above ground and below ground property/equipment damage. Additionally, Video Games Truck reserves the right to charge the client’s credit card for damages to the trailer or equipment resulting from the careless or willful damage of same by clients guests. Video Games Truck  or their employees assume no responsibility for any injuries sustained on the clients property or their designated location. All liability for damages or injuries are the sole responsibility of the client and/or host.

FOOD/DRINK:

Video Games Truck  does not allow any food or drinks into the video game theater. Please have your guests consume them outside of the trailer prior to entering. Bottled water is fine.

PARKING:

Video Games Truck/Trailer: When the truck pulls up, we will try to park in the most level & flat area or logical spot to accommodate your party. Sometimes, we park in your neighborhood street, so you might want to let your neighbors know (in case they may object) or let us know if you have a preferred spot for us. We might also have to block a driveway. **Please keep in mind that our Game Coach will not park anywhere that may cause a danger to persons, property or equipment. Our truck and trailer combination is very long and we will need a minimum of 55 feet of space to park. Additionally our Game Coach will never disconnect the truck from the trailer at a party/event nor park off of a hardened surface.

For locations where we will be required to back in (because of parking laws or you are located on a major roadway and, in our opinion, on street parking is dangerous Video Games Truck ltd and it’s employees will not be held responsible for any damage. 

 

VIDEO GAME RATINGS:

Video Games Truck will not play any “M” rated or higher game in the video game theater without a request from the client prior to the party/event or adult approval at the time of the event. If you wish to have an “M” rated game or higher at your party/event please send an Email to info@videogamestruck.com indicating the game you prefer or let the Game Coach know as soon as you can after he gets there. It is also recommended that all clients Email Video Games Truck with their game requests.

 

PARTY PICTURES:

One service that Video Games Truck can provide is photographs of the party in action from the inside of the Trailer. We won't charge for it.

While your party is in effect the Game Coach can take pictures of the party from inside the trailer. If you would like our Game Coach to take pictures please notify us via Email prior to the party for our information and notify the game coach on site that you would like photos to be taken. This is a service we provide to our guests at no extra charge so they can be sure to capture their party as it happens.
